Corporate Executive Secretary

 

A corporate executive secretary provides high-level administrative and organizational support to senior executives, managing complex calendars, coordinating high-level meetings, handling confidential information, and acting as a key communication liaison to ensure the executive's efficiency and the company's smooth operation. They are essential for strategic decision-making by freeing up executive time and maintaining excellent communication flow within the organization.
 
 

KEY ACCOUNTABILITIES

• Calendar and Schedule Management: Managing complex calendars and ensuring executives attend important meetings and appointments.
• Meeting Coordination: Organizing high-level meetings, preparing necessary documents, and ensuring a smooth flow of information.
• Communication Facilitation: Acting as a gatekeeper and key liaison between executives, departments, clients, and colleagues.
• Document Preparation: Creating reports, presentations, and other corporate documents as needed by executives.
• Confidential Information Handling: Managing sensitive information with a high degree of professionalism and discretion.
• Corporate Affairs Activity: Supporting and coordinating corporate affairs initiatives, including stakeholder engagement, public relations, and internal communications.
• Corporate Law Concern: Assisting in monitoring compliance with corporate laws and regulations, coordinating with legal advisors, and supporting documentation for legal processes.
• Legal Entity Management: Maintaining records and documentation related to legal entities, supporting registration, licensing, and governance requirements.

 

 Education:

  • Bachelor’s degree in business administration, Management, Law, or a related field. A master’s degree or professional certification (e.g., Certified Administrative Professional - CAP) is a plus.

 

Experience:

  • Minimum of 5 years of experience in executive-level administrative support, preferably in a corporate or legal environment.

 

Language Proficiency:

  • Excellent command of written and spoken English; additional language skills are an advantage.

 

Legal and Corporate Knowledge:

  • Familiarity with corporate governance, legal documentation, and compliance processes.

 

Professionalism:

  • Demonstrated ability to work with senior executives and maintain a high level of professionalism and discretion.

 

Adaptability:

  • Capable of managing multiple priorities in a fast-paced environment and adapt to changing demands.
